Scenario
A global company, leader in the energy segment in Brazil, faces a crucial challenge in its plant operations. To ensure the protection of its employees, the company adopts the practice of Preliminary Risk Analysis (APR) before each activity at height. This procedure involves filling in various forms in which the potential risks of the tasks to be carried out are identified and assessed. Although this practice is essential for safety, the current process of manually filling in forms has proven to be archaic and prone to failure, compromising the desired effectiveness and safety.
Challenges
One of the main difficulties faced is the lack of perception of real risks by employees. They often fail to fully identify the risks associated with their daily tasks, resulting in less cautious behavior and increasing the likelihood of incidents.
In addition, the current risk assessment process, based on fill-in-the-blank forms, does not encourage in-depth reflection, making analysis mechanical and superficial.
Another challenge is the incomplete assessment of risks, even with the existence of Preliminary Risk Analysis (PRA) forms. Certain specific risks are not adequately identified due to the lack of clarity in the assessment criteria or the incompleteness of the forms, which may not cover all the particular aspects of an activity.
APR forms also lack contextual information specific to each activity, which means that risks can vary significantly depending on the specific operating environment.
Finally, the complexity of risk description texts can be an obstacle for employees. Excessive technical language and confusing structure make it difficult to understand the risks, compromising the ability to carry out an effective assessment and implement appropriate preventive measures.
These challenges highlight the need for a more modern and efficient approach to risk analysis, which facilitates the accurate identification of hazards and engages employees in promoting a solid and effective safety culture.
Solutions
To address the safety challenges faced by employees in wind farms, AMcom developed a Proof of Concept (POC) of an advanced chatbot. This solution is part of AMcom's Application Modernization and Data & Analytics offerings, using artificial intelligence to improve the Preliminary Risk Analysis (APR) in accordance with Regulatory Standard NR35.
The chatbot is designed to guide employees through a flow of questions and answers, covering all the nuances of the APR. We use artificial intelligence so that the tool understands and answers a wide range of technical questions related to services carried out at height.
The solution has been structured to guide users through an intuitive process, covering all the critical aspects of the APR. This flow ensures that all relevant points are considered, promoting a more in-depth and effective risk analysis.
The chatbot uses a database fed with historical information from previous APRs, integrated with ChromaDB to associate specific services carried out at each plant, providing an accurate context for the risk assessment. This allows a specific analysis for each operational situation.
We implemented a flexible system that allows users to interrupt the flow of questions to clarify doubts, answered from an extensive knowledge base. This feature ensures that all questions are addressed effectively and that employees have a clear understanding of the risks and security measures.
To improve efficiency, we allow users to provide information simultaneously in a single text. For example, they can indicate that they are wearing a helmet, goggles and a lanyard, and the chatbot will automatically fill in the corresponding questions. This reduces the time needed to complete the APR and minimizes the possibility of human error.
We have also implemented a monitoring system that records the number of questions answered and the percentage of compliance with the APR process. This system allows for continuous analysis of the chatbot's effectiveness, identifying areas for further improvement and ensuring that the risk analysis process is always in line with best security practices.
